Zap: Create a Monday.com Task When a Frame.io File Is Ready

When a file is ready to view in Frame.io, this Zap automatically creates a Monday.com task with the file name, a direct link to the asset, a priority, and a due date.

What you'll need

  • A Frame.io V4 account

  • A Zapier account

  • A Monday.com account with a board and group set up to receive review tasks

Set up the Zap

Step 1: Open the template

Click the button below

When the template opens, the guided setup wizard will launch automatically. Before exiting, confirm the Zap has been given a name and saved to the desired folder location. Then click Cancel, then Close setup to exit. Your Zap is saved and you can continue in the Zap editor.

Step 2: Configure the Frame.io trigger

Select your Frame.io Account and Workspace. The trigger fires when a file finishes processing and is ready to view. It watches the entire workspace, so the filter in the next step is important for keeping tasks focused to the right folder.

Zapier needs to see the File Ready event happen before it can configure the later steps. To fire a test trigger, upload a file to the folder you want to monitor in Frame.io and wait for it to finish processing. Return to Zapier and confirm the trigger step has received the event.

Step 3: Set the folder ID filter

The filter limits task creation to files in a specific Frame.io folder. Update it with the ID of the folder you want to monitor.

To find your folder ID:

  1. Open your project in Frame.io

  2. Navigate into the folder you want to monitor

  3. Copy the folder ID from the browser URL bar. It appears as the last string of characters in the URL, after the project ID.

Note: To remove the filter entirely, delete the filter step. The Zap will then create a Monday.com task for every file that becomes ready across your entire workspace.

Step 4: Configure the Monday.com task

Connect your accout and select your Monday.com Board and Group where tasks should be created. The following fields are pre-populated from Frame.io and can be adjusted:

  • Task name: custom mapped from the file name

  • Link: custom mapped from the Frame.io view URL

  • Priority: set to Medium by default. Update to match your team's workflow.

  • Due date: set to 1 hour from the trigger by default. Update to match your team's review timeline.

Step 5: Publish the Zap

Click Publish. The Zap is now live.

Troubleshooting

Zap is not triggering

Confirm the correct Frame.io account and workspace are selected in the trigger step. The File Ready trigger fires only after a file has finished processing, not immediately on upload. Try uploading a file to the monitored folder and waiting for it to finish processing.

Tasks are being created for the wrong files

Check the filter step and confirm the folder ID matches exactly. The folder ID must be copied from the browser URL bar. Copy it carefully with no extra spaces or characters.

Monday.com task is missing the file link

Confirm the view URL field in the Monday.com step is custom mapped from the Frame.io trigger, not hardcoded.

Monday.com board or group is not appearing

Confirm the connected Monday.com account has access to the board you want to use.
