Share Lists

Share Lists are saved groups of users and email addresses you can add to any Share in bulk — no more adding people one by one, every time.


Instead of rebuilding your reviewer list from scratch each Share, create a named list once and reuse it across any Project or Workspace. Share Lists are designed for sharing workflows where recipients get free Reviewer access, so there's no seat cost to add someone to a list.


What's in a Share List

Each Share List has:

  • A name (must be unique within a workspace)

  • Members — existing Frame.io users and/or external email addresses

  • A workspace scope — you choose whether the list is available to one workspace or all workspaces in your account

Recipients added via a Share List receive free Reviewer access to that Share. No paid seat required.


How to create a Share List

Share Lists are created and managed in Account Settings → Share Lists.

  1. Go to Settings and open the Share Lists tab.

  2. Click + New Share List and give it a name.

  3. Add members by typing names or email addresses. Existing Frame.io users will be recognized automatically; new email addresses will be added as external reviewers when the list is first used in a Share.

  4. Click Save.

Note: You can also create a new Share List directly from the Share panel when setting up a Share link.

Setting Share List access

After the Share List is created, you can set the workspace scope for where this Share Link is accessible — highlight a Share List and from Added To, and select one of the following:

  • Single workspace — visible and usable only within one workspace

  • All workspaces — available across every workspace in your account, including ones added in the future (similar to account-level metadata)

As a security measure, members can only see Share Lists assigned to workspaces they belong to.

Note: Share List names must be unique within a workspace, but the same name can be used in different workspaces.

Managing Share List members

To add or remove members from an existing list, go to Settings → Share Lists, select the list, and edit from there.

  • Adding a new email address that isn't a Frame.io user: that person won't receive a welcome email just for being on a list. They'll only get an invite when the list is actually added to a Share.

  • Removing a member from a Share List doesn't remove them from any existing Shares they've already been added to via that list.


Using a Share List

When creating or editing a Share link, type the name of a Share List in the recipient field. The list will appear as a suggestion — select it to add all its members at once.
A few things to know:

  • You can add multiple Share Lists to a single Share. Adding more than one list doesn't merge them into a new list — it just invites everyone included across all the lists.

  • You can mix Share Lists with individual users and email addresses in the same Share.

  • The total number of recipients added via Share Lists can't exceed 200 people per Share.


Who can create and manage Share Lists

Below is a list of user roles in Frame.io and which ones are able to create, manage, and use a Share List.

Share Lists are available on Pro plans and above.

Note: Share Lists can only be edited or deleted by the original creator or a Content Admin.


Additional Tips

  • If you frequently share with the same agency, client team, or production crew, create a list for them. One selection, everyone's in.

  • Content Admins can see all Share Lists across all workspaces, making it easier to audit access and clean up stale lists.

  • When you create a Share List from Quick Share, it defaults to the current workspace. You can update the scope in Settings afterward.
